Provides office support services by implementing and maintaining administrative policies and systems, procedures, and monitoring projects. This position requires excellent attention to detail, superb computer skill sets, outstanding follow-up and a strong ability to multitask. The right candidate must be flexible and possess a solid office support experience with a high degree of reliability.



Executive Assistant Job Duties:


 



•         Acts as support for Executive management



•         Prepare routine and advanced correspondence



•         Handle requests and queries appropriately



•         Arrange Meetings and appointments and provide reminders



•         Make travel arrangements



•         Take meeting minutes and distribute as needed



•         Produce complex reports, presentations etc.



•         Develop and carry out an efficient documentation and filing system



•         Create and submit expense statements



•         Update and maintain schedules, spreadsheets, accounts payable, payroll records etc.



•         Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.



•         Provides information by answering questions and requests.



•         Completes operational requirements by scheduling and assigning administrative projects; expediting work results.


Executive Assistant Skills and Qualifications:




•         Associate Degree or equivalent job experience



•         Minimum of two years’ previous Executive or Administrative Assistant.



•         Excellent time management and organizational skills



•         Must be able to multi-task, be self-motivated, reliable, dependable, and flexible



•         Must be able to act independently and use own judgment regarding how to handle incoming requests and information.



•         Must be able to determine when to pass information (requests) on to others and when to handle them



•         Detail oriented with excellent follow-through skills



•         Must possess a positive attitude and be highly effective in a team environment



•         Must be able to maintain confidentiality



•         Relies on experience and good judgment to plan and accomplish goals



•         Ability to collaborate across functions



•         Proficiency with Microsoft Office Word, Excel (experience with pivot tables / VLOOKUP, graphs and charts required), PowerPoint



•         Strong keyboarding skills



•         Proficiency with Office 365 / OneDrive required
